Job Purpose:
Managing all general office duties. Data input, assists with director duties and corresponds with clients.
Job Duties:
Performs general clerical duties, including, but not limited to mailing and filing correspondence, placing orders, answering calls and arranging appointments.
Interacts with applicants, clients and visitors
Sorts and distributes incoming mail
Arranges meetings by reserving rooms and managing refreshments
Types correspondence, meeting notes, and forms among other documents
Photocopies, scans, and files appropriate documents
Edits documents for accuracy
Maintains accurate records and enters data
Assists with organising events when necessary
Conducts research and compiles data
Interacts with directors when necessary
Assists in setting up new client accounts
Maintains financial database records
Answers customer questions, updating a list of FAQ's.
Performs additional duties when required, including drafting brochures and organising the filing system.
Office Assistant Skills and Qualifications:
Previous Experience in a Related Field Preferred but not pivotal; some training may be provided.
Above all you have to be Self-Driven, have the Exceptional Communication Skills; ability to Maintain a Strict Level of Confidence; prove an Attention to Detail; have a Professional Appearance; show good Typing Skills and Problem Solving Skills; Organisational Skills; and finally you have to be Highly Motivated and Able to Prioritize Efficiently; Able to Work Alone or As Part of a Team; you have to be Enthusiastic and Reliable and have some basic Knowledge of Office Management Procedures.
You have to be able to work in any environment - office, home, hotels and while traveling.
